How To: Sync Microsoft Outlook 2011 for Mac with Apple iPhone

With the recent introduction of Microsoft Outlook 2011 for Mac, many users are wondering how to keep their contacts and address book in sync between Mac Address Book and their Apple iPhone.

Read on for a quick walk-through guide on how you can set this up.

 

Preparation: Start with a Back Up

As always before running any sync operation, make sure you back up your contacts in case something goes horribly wrong. For Microsoft Outlook, you can back up your contacts by selecting File > Export > Contacts to a list.

Step 1. Open Sync Services in Outlook Preferences

Open Sync Services by navigating to Outlook > Preferences.

In the menu, select Sync Services.

Step 2. Select the accounts you’d like to sync

NOTE: You should probably be careful here of any third-party sync services you have turned on. This can result in all sorts of issues like duplicated contacts or incorrectly merged contacts.

This will present you with multiple options, including calendar, contacts, tasks and notes. Microsoft Outlook can sync with Apple Address Book, iCal and MobileMe. Select the option you’d like and Outlook will keep your contacts in sync.

Step 3. Connect your iPhone to your Mac

Take out the connector cord provided with your iPhone, and connect it with your Mac. Connecting it will automatically load up iTunes.

On the left hand navigation of iTunes, there is a section called Devices. The name of your iPhone should be listed there. Click into that if you’re not already there.

Step 4. Set up contacts sync between your iPhone and Mac Address Book

On the top navigation, navigate to Info, which is directly to the right of Summary.

The second option down is to Sync Address Book Contacts. Check this box.

If you’d like your Address Book Contacts to overwrite the contacts on your iPhone, you can also scroll further to Advanced. Under this section, you can check the Contacts to Replace information on this iPhone.

Step 5. Start your sync

Once you’ve completed setup, click the Apply button on the bottom right and iTunes will begin your sync. Based on how many contacts are being changed, iTunes may show you a few popups about a significant number of contacts being changed or conflicts arising. Follow their wizard to resolve your merged details, and you’ll be all set.

    Following your steps above, I have the “sync services” window up as above, however each of the 2 boxes is blank (as in empty) and the 3rd box (the pulldown box) is blank as well.  Do you have any advice?  Thank you.

    Sorry, it’s not clear to me which step you’re talking about. Do you mean the Sync Services under step 1? Or do you mean Sync in Step 4?

    I just switched from a Blackberry to an Iphone 4S and was trying to follow a similar procedure to sync my Outlook Contacts and Calendars. I made sure that I had the latest Service Pack update for Outlook 2011 and the latest Itunes. So what was happening was that the Itunes sync worked great with my Contacts, but just hung in limbo trying to sync my Calendar, even though i don’t have a lot of info on my Calendar.

    After managing to get through to an Apple tech, they had me just manually put a random test event RIGHT IN Ical, instead of in Outlook. Once I did this, the next sync allowed all my events to come through with no problem. They said that this had something to do with the way Outlook synced, but he said it was likely that I wouldn’t have to keep doing this now that it “forced” the events through.

    I’ll know though in the future to do this, if anything gets stuck again.

    i got the test message on my 4S, but not on my computer.

    Yes, I had the Sync Services set in Outlook (again, you have to have the Service Pack 1 installed to be able to sync Calender), and when I did entered the Test event in Ical, it synced everything back and forth from Outlook to the iphone just fine.

    I noticed you just sync’d your contacts, but, will this work for Notes and Calendar as well?

    unfortunately in my case it does not work :-( i cannot habe any contacts synced with outlook even after the exact procedure mentioned above. anybody an idea?

    Thank you so much for this post and the tip on the random TEST directly in iCal by SteveH.  But it only worked once and now I get and error message every time Outlook tries to sync with iCal:

    “You can’t open the application Microsoft Sync Services because PowerPC applications are no longer supported.”

    Is there something else I need to fix or dowload?   I have the latest version of Outlook for MAC 14.1.4 and iTunes 10.
